Why Approvals Get Lost in WhatsApp

Ask most operations managers where an approval actually happens and the honest answer is not "in the system." It is a WhatsApp message, or a conversation between the printer and the water cooler. The decision gets made. It just never reaches the file.

Why this keeps happening

Approving something inside a proper system takes longer than typing a reply on a phone that is already in your hand. Staff are not being careless when they approve in chat. They are taking the fastest available route, and the fastest route wins every time unless the proper one is at least as quick.

What changes, concretely

The fix is not a policy telling people to stop using WhatsApp. It is making the in-system approval just as fast: a link on a phone, one tap, done. The record is then created as a side effect of the decision, not a separate step someone has to remember.

What this actually buys you

Months later, a client disputes a charge, or someone asks who signed off on something. The answer should not depend on scrolling back through a phone that has since been replaced. It should be a name, a date, and what was approved — sitting on the file, where the decision was made.
